Privacy policy

Last Updated: 27th October 2026

At Briarwood Supplies, we are dedicated to safeguarding your privacy and protecting your personal data. This Privacy, GDPR, and Cookie Policy clarifies how we collect, use, and secure your information when you visit our website, www.briarwoodsupplies.co.uk, conforming to the General Data Protection Regulation (GDPR).

1. Information We Collect

When you use our website and submit forms, we may collect the following data:

1.1 Personal identification information (First names, last names) 1.2 Contact information (email addresses, telephone numbers, mobile phone numbers) 1.3 Company name 1.4 Billing addresses 1.5 Shipping addresses

2. Use of Your Information

The personal data we collect will be logged onto our Customer Relationship Management (CRM) system, HubSpot. This data will be used for:

2.1 Marketing activities: Sending you promotional materials about our products and services. 2.2 One-to-one sales activities: Personalising our sales approach for your specific needs. 2.3 Support activities: Assisting you with any inquiries or issues you have with our services.

3. Use of Your Information

3.1 Purpose of Data Collection

The primary purpose of collecting your personal data is to provide you with a smooth, efficient, and customised experience. We utilise the data submitted to us for various activities that enhance your overall user experience and interaction with our website and services.

3.2 Specific Uses

  • Order Fulfilment: We use your information to fulfil and manage orders, payments, returns, and exchanges made through the website.

  • Communication: Your contact details are used to communicate with you about your orders, solve your queries, and provide customer support. They are also used to send you marketing and promotional communications if you have opted-in to receive them.

  • Marketing and Sales Activities: With your consent, we may use your personal data to inform you about new products, services, offers, promotions, and events. These might include one-to-one sales activities designed to improve your shopping experience. Email marketing is only sent if you have opted in. Separately, we may use your contact details in hashed form to build advertising audiences with Google, as described in section 3.6.

  • Personalised User Experience: We use the data to understand your preferences, history, and behaviour on our site, enabling us to personalise your experience, provide content that might be of interest to you, and make it easier for you to use the website.

  • Security: We may use your information to prevent, detect, mitigate, and investigate fraudulent or illegal activities.

3.3 Data Retention

We retain your personal data as long as necessary to provide you with our services, or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our policies.

3.4 Third-Party Sharing

We do not sell or rent your personal data, and we do not disclose it to third parties for their own marketing purposes without your explicit consent. The one exception is advertising audiences: we may share your contact details with Google in hashed form, on the basis of legitimate interests, as described in section 3.6. You can object to this at any time. We may share your data with third-party service providers that perform services on our behalf, such as payment processing, data analysis, email delivery, hosting services, customer service, and marketing assistance. However, we require that these third parties maintain the privacy and security of your personal data.

3.5 Opt-Out

If you wish to opt-out of receiving marketing communications from us, you can unsubscribe using the link in our emails or contact us at [email protected]. Please note that even if you opt-out, you may still receive transactional emails regarding your account and your purchases.

3.6 Advertising audiences (Google)

Briarwood Supplies Limited is the controller. If you have bought from us, we may give Google your email address and phone number to show you relevant ads, leave out people who have just bought, and find new customers similar to you. Before sending, we convert your details into a scrambled code (a hash). Google matches the codes to its own accounts. It is still personal data.

Our basis is legitimate interests: promoting our products to customers and avoiding wasted ads. We have weighed this against your rights.

You can object at any time at [email protected]. We will stop including you and ask Google to remove you from our lists. This is separate from email unsubscribes.

We keep customers in these lists for 24 months from their last order, refreshed daily. Google removes members after 540 days.

Google may process this data in the United States. Where it does, the transfer is protected by the UK Extension to the EU-US Data Privacy Framework or by the International Data Transfer Addendum to Google's standard contractual clauses.

3.7 Measuring our adverts (Google Ads)

If you reach us from a Google advert and accept marketing cookies, we keep the advert's click reference (for example gclid) with your order or quote for up to 90 days. When you buy, including by quote or invoice, we send Google that reference, the order value and your email and phone in hashed form, so we can see which adverts lead to sales. Our basis is your consent for the cookie and our legitimate interests for the measurement. You can object at any time by emailing [email protected].

4. Payment Processing

4.1 Shopify Payments

At Briarwood Supplies, we utilise Shopify Payments to process all transactions made directly on our website or via telephone. Shopify Payments is a globally recognised payment gateway that ensures secure and seamless financial transactions.

4.2 Security Measures

Shopify Payments employs state-of-the-art security measures to keep your financial data safe. They utilise Payment Card Industry Data Security Standard (PCI DSS) compliant systems. This includes secure socket layer (SSL) technology that encrypts your card details and keeps them secure during transmission.

4.3 Data Handling

Importantly, Briarwood Supplies does not have direct access to your full card details. When you submit a payment on our website, your sensitive information is directly processed by Shopify Payments, and only the transaction's necessary details are provided to us. This process ensures that your financial data is not stored on our website, reducing potential security risks.

4.4 Usage of Your Payment Information

Your payment information is used solely for processing transactions. We do not use your financial data for any other purpose without your explicit consent. Furthermore, we adhere to strict data privacy regulations, ensuring that your information is not shared with third parties without your knowledge and permission.

4.5 Payment Queries

If you have any questions or concerns about your payment, transaction process, or encounter any issues, please contact our customer service team at sales@briarwoodsupplies.co.uk. We're here to assist you and ensure that your shopping experience at Briarwood Supplies is smooth, safe, and satisfactory.

  • Functionality Cookies: These allow our site to remember your preferences (like your language or the region you are in) and provide enhanced, more personal features.

  • Advertising Cookies: These cookies are used to deliver relevant ads to you. They are also used to limit the number of times you see an advertisement and help measure the effectiveness of an advertising campaign.

We use various tools for this, including Google Analytics, Google AdWords, HubSpot, Facebook Pixel, TikTok Pixel, Shopify Analytics, and Shopify Apps. These tools collect data about your browsing behaviour, help us improve our services, provide personalised advertising, and analyse our web traffic.

5.2 Controlling Your Cookies

You can control your cookie preferences directly within your web browser. Most browsers allow you to manage cookie settings. These settings can usually be found in the 'Options' or 'Preferences' menu of your browser. Here, you can disable cookies or delete all cookies stored. However, please note that if you choose to disable cookies, it may affect your ability to use certain parts of our website.

5.3 Changes to Our Cookie Policy

Our Cookie Policy may change from time to time. This could be due to changes in relevant laws or updates to the technologies we use. We recommend regularly checking this section of our Privacy and GDPR Policy to stay updated on how we use cookies.

  • Rights related to automated decision making and profiling: You have the right not to be subject to a decision based solely on automated processing, including profiling, which has a legal or similar significant effect on you.

6.2 Exercising Your Rights

If you would like to exercise any of these rights, please contact us at [email protected]. We will respond to your request within one month of receipt. If your request is complicated or we have received a number of requests from you, we may extend this period by two further months and will let you know why within one month of receiving your request.

6.3 International Data Transfers

While Briarwood Supplies is based in the United Kingdom, some of the third parties we work with are located in countries outside of the EU. When your personal data is transferred to these countries, we ensure that adequate protections are in place in compliance with the GDPR.
